OPICI/RNDC NY is currently seeking an Executive Assistant to join our growing Company and our RNDC Sales Force. POSITION SUMMARY: OPICI/RNDC NY is looking for an outgoing, self-motivated, and organized Executive Assistant to join our growing Sales team.
OPEN POSITIONS: The Executive Assistant must be effective in planning, prioritizing, and executing tasks in a timely manner. They must also exhibit skills in building and maintaining strong relationships both internally and externally. The ideal candidate is both approachable and respectful, comfortable with new technology, calendar & travel management, virtual meeting platforms, scheduling systems, and proficiency in all Office 365 applications.
DUTIES AND RESPONSIBILITIES:
- Resolves problems from information that is not readily available and may be required to conduct research and make recommendations.
- Exposed to and handles/maintains highly confidential and sensitive information.
- Tracks and manages special projects and ensures that deadlines are met.
- Coordinates off-site conferences and meetings; makes travel arrangements.
- Handles agenda and logistics for meetings, dinners, and other functions.
- Assists with technical challenges by working with the IT department to resolve issues in the shortest amount of time.
- Answers phones, screens call, takes messages, refers callers, manages calendars and sorts/distributes mail.
- Prepares materials for meetings and compiles special reports, letters, memos.
- May track budgets/expenses and analyze/prepare expense reports.
- May provide leadership/direction to other administrative assistants.
QUALIFICATIONS:
- Bachelor’s degree (B. A.) from four-year College or university
- 3 to 5 years’ relevant experience in a customer facing Industry with food and beverage industry preferred.
- Computer proficiency with Microsoft Office a must – Excel savvy, skilled in PowerPoint presentation, Outlook, Word, and Teams.
- Attention to Detail, Autonomy, Commitment, Solution Oriented.
- Self-motivated with the ability to multitask.
- Must be an analytical thinker, and pivot as needed.
- Excellent written and oral communication skills with strong interpersonal skills.
- Versatility, flexibility, and willingness to work within constantly changing priorities with enthusiasm.
- Ability to manage priorities, workflow and to handle multiple projects and meet deadlines.
- Ability to work in a high energy sometimes stressful atmosphere.
COMPENSATION & BENEFITS: Salary range $60K – $75K annually. Eligible for Health and Welfare Package and 401k (with Company Match). Holidays and Paid Time Off
